Write emails with AI and set how they look

Draft or edit an email with Write with AI, undo any change, pick your default sender, and set the branded or plain text look of client emails.

View as Markdown

The email composer can draft an email for you or rework the one you've written, and Email appearance sets how invoices, proposals, receipts and campaigns look when they reach your client. Both are on every plan.

Draft an email with Write with AI

Open a new email and select Write with AI in the bottom toolbar. On a phone the button shows only the ✨ icon, and the same actions open in a sheet.

  1. Choose Write for me.
  2. In the box that says Describe the email you want, say what the email is for, then select Write for me.
  3. The draft replaces the message body. If the subject was empty, the AI fills it in too.

Read the draft before you send it, especially any dates, prices or promises.

Edit your draft or change its tone

Once the email has some text, the other actions in the Write with AI menu light up:

  • Edit your draft: Improve writing, Fix spelling and grammar, Make shorter or Make longer.
  • Change tone: Friendly, Professional or Direct.

Your signature is kept out of the AI and added back afterwards, so it is never doubled. Write with AI is told to keep merge fields such as the client's first name as written; check them before you send.

Undo or try again

After each AI change, a bar above the message reads Done: followed by the action's name, for example Done: Make shorter.

  • Undo puts back exactly what you had, subject included.
  • Try again runs the same action again on your original text.

The bar goes away as soon as you start typing, so Undo never throws away new writing.

AI usage and turning it off

Write with AI uses your workspace's AI usage, like other AI features.

  • You've reached your AI usage limit. Add more to keep writing.: your workspace has used its AI usage for this period, and a sheet to add more opens with the message.
  • This is too long for AI help. Shorten it and try again.: the text is longer than AI help accepts.

Writing help is on for every workspace. An admin can turn off Writing assistance under Settings, Email, SMS & phone, AI assistance (the Inbox AI assistance page). When it's off, the Write with AI button doesn't show in the composer.

Choose the inbox new emails start from

When your workspace has two or more inboxes, each team member can pick the inbox their new emails start from without changing it for anyone else.

  • Open the From menu in any new email. It lists every inbox you can send from, tagged Your default and Team default. Always send from saves the inbox you picked as your default.
  • Or open Settings, then Email, SMS & phone, then Email, then Domains & connections, and use Your default sender. Only you see this setting.

New emails start from your default, then the team default. A restored draft keeps the inbox it was written from. If your default inbox is removed or you lose access to it, new emails start from the team default again, or from your oldest inbox if there is no team default.

In the web app on a computer or tablet, the composer opens as a wide window. The full screen button next to Close, or ⌘/Ctrl+Shift+F, fills the window (not at phone width). ⌘/Ctrl+Enter sends the email in any composer.

Set how client emails look

Open Settings, then Email, SMS & phone, then Email, then Email appearance.

Email appearance applies to invoices, proposals, receipts and campaigns. Replies you send from the Inbox go out as plain email, so they read like a person wrote them.

Branded or plain text

Under Email style, set Send as:

  • Branded emails carry your logo, layout and colors.
  • Plain text emails send your words, any action link and the inbox's signature, with no logo, colors, layout or footer. Plain text emails can't report opens or clicks.

For branded emails you can choose:

  • Email layout: Minimal, Branded Band, Letterhead, Hero, Centered Card, Left Accent, Refined Classic or Dark.
  • Brand color, used for buttons and accents.
  • Alignment and logo: Left or Centered, and Logo position Top, Signature or None. Signature puts a small logo next to your business name, under the message, and you can set the Signature logo size to Small, Medium or Large.
  • Signature card: your name and role beside the logo, under the message. Leave both blank to show the business name.
  • Email footer, shown at the bottom of formatted email.
  • Email logo: use your Workspace logo, a Custom one (Upload custom logo, Replace logo, Remove logo), or None.

A live preview shows how the email will look. Changes save from the save bar.

Give one inbox its own look

Workspace default is used by every inbox that does not set its own. Under Mailboxes, pick an inbox to override its email style, layout, brand color, footer, alignment and logo position, or signature card. A blank field means the inbox uses the workspace look, and the form names what it falls back to, for example Using the workspace style: Branded. An inbox that overrides nothing shows Uses the workspace look.

The email logo is the same for every inbox. To change it, open Workspace default. Changing an inbox's look needs the Inbox Settings permission. Changing the workspace default needs the Edit Email Appearance permission.
