Create a membership type from a preset, set what members get and how it bills, add rules for the front desk, and sell it to a client with a pay link.

Memberships let clients pay once or on a schedule for access, visits, minutes or credits. You create a membership type once, then sell it to clients, who pay with a link and get a pass in their client portal.

Before you start

  • Open Clients → Memberships. The Types tab lists your membership types and Members lists everyone on one.
  • Memberships are sold through Stripe, so connect Stripe under Settings → Online payments first.
  • Memberships are on every plan. On Cadet you can have up to 3 membership types. The owner can always check members in. Letting staff check members in at the front desk needs Voyager or higher.

Create a membership type

  1. Open Clients → Memberships and select New membership.
  2. Under Start from a preset, pick the closest match, such as Unlimited, Minutes, Visit pack, Credits, Family, Salon membership, Coworking or Day pass. You can change everything afterwards.
  3. Enter a Name, for example "Bronze 120 minutes".
  4. Under What's included, set what members get: unlimited access, a number of visits, minutes or credits. Choose how they refill, whether unused amounts roll over, when they expire, and any caps. You can add guest passes too.
  5. Set the billing:
    • Recurring (every week, month or year), One time, or Term. A term membership is paid up front for the whole commitment.
    • The price, and an optional Sign-up fee.
    • An optional Commitment (a minimum number of months) and notice period (days).
  6. Under At the door, set the rules your front desk follows:
    • Failed payment: how many days to allow, then Deny check-in or Warn at the desk.
    • Freezes: how many a member can take a year, and for how long. A freeze pauses billing.
    • On Specialist and higher, Before first visit: what a member must do before their first visit, such as a minimum age or a questionnaire.
  7. Check the Client's pass preview, which updates as you type.
  8. Select Save type.

If you edit a type that already has members, choose whether the changes apply to New members only or to Everyone at their next renewal.

Sell a membership to a client

  1. Open the client, open the ⋯ menu and select Sell membership.
  2. Choose the membership.
  3. Under How they pay, choose Pay link, then select Sell.
  4. Select Copy Link and send the link to your client the way you usually do. Workspace369 doesn't email or text it for you.

The membership starts when the client pays.

Manage a membership

From the client's membership you can:

  • Freeze it, or Freeze until a date, and Unfreeze it. Renewal and expiry dates move out by the frozen time.
  • Cancel membership: At period end, so access runs until then, or Now. Any remaining balance follows your cancellation rule.
  • Adjust balance to add or remove visits, minutes or credits.
