Pipeline board and multiple pipelines

See your leads in columns by stage, move them along, mark them won or lost with an optional reason, and run more than one pipeline.

View as Markdown

The pipeline board shows your leads as cards, one column per lead stage. Move a card as the conversation moves, mark it won or lost, and see what's open, what it's worth and how many you win. You can run more than one pipeline, each with its own stages.

Who can use it

  • You need permission to view clients.
  • Every plan has the board. The number of pipelines depends on the plan (see Multiple pipelines).
  • To add, rename or delete stages and pipelines, you need the Manage stages permission.
  • Deal values show only to people who can see prices. Everyone else sees the same cards without them.

Open the board

  • On a computer or tablet: open Clients, then switch the view from Table to Board.
  • On a phone: open Clients, then select Pipeline board. The phone shows each stage's leads in a list. Tap a lead to open it.

If you have more than 1,000 open leads, the board says Showing the first 1,000 leads.

Read the board

Each column is a lead stage. A card shows the lead's name, its deal value, or No value if there isn't one, and its expected close date.

The strip above the columns sums up the pipeline:

  • Open pipeline: how many open leads there are and what they're worth.
  • Weighted: each lead's value × its stage's win chance, added up.
  • Won in and the month, such as Won in November: the leads won so far this month.
  • Win rate of closed leads, 90 days: won leads out of all closed leads in the last 90 days.

Values in a different currency from your workspace aren't converted. The total says how many there are, such as + 2 in other currencies.

Requests that aren't leads yet sit in New inquiries, marked from Requests. They're Not counted until moved. To make one a lead, choose Convert to lead….

To change the order of the cards, sort by Close date, Value or Newest.

Move a lead

  • Drag its card to another column.
  • Or open the card's menu and choose Move to….

The card menu also has Edit value and Set expected close, for people who can see prices, and Move to pipeline… once you have two or more pipelines. If someone else moved the same lead while you had the board open, it refreshes and says Moved by someone else; refreshed.

Set a deal's value and win chance

Open a lead to see its Deal section: Value, Win chance and Source. Choose Use proposal total to take the value from one of the client's proposals.

Each stage has its own win chance, which the Weighted figure uses. Set it in Settings › Clients › Stages and follow-ups: edit the stage and fill in Win chance.

Mark a lead won or lost

Drag the card onto Won or Lost (the board shows Drop on Won or Lost while you drag), or choose Won or Lost from its menu.

  • Lost asks Mark name as lost? Pick a reason if you like, add a Note (optional), then choose Mark lost. The lead moves to a closed stage and leaves the pipeline.
  • Won asks for a reason too, if your workspace has won reasons. Choose Mark won. The lead moves to a client stage.

Picking a reason is always optional. The reasons feed the Leads report. Right after you mark a lead, you can choose Undo.

To change a closed deal, open the lead and choose Reopen. Closed deals can't be edited. Reopen to change them.

If the board says Add a stage that counts as a client first or Add a stage that counts as closed first, add that stage in Settings › Clients › Stages and follow-ups. Under Counts as, choose Client or Closed.

Won and lost reasons

Set the reasons in Settings › Clients › Stages and follow-ups, under Won reasons and Lost reasons. Every workspace starts with:

  • Won reasons: Fast reply, Price, Quality of work, Reviews & referrals.
  • Lost reasons: Price, Went quiet, Chose someone else, Timing.

Add, rename or delete them as you need. Deleting a reason doesn't change leads already marked with it. With no reasons at all, marking a lead won or lost still works.

Multiple pipelines

Run separate pipelines side by side, such as one for client projects and one for program applications. Each pipeline has its own stages and win chances.

Your first pipeline is called Sales and is marked Default.

Add a pipeline

  1. On the board, open the Pipeline menu and choose New pipeline. This needs the Manage stages permission. You can also do this in Settings › Clients › Stages and follow-ups.
  2. Give it a name, such as Client projects.
  3. A new pipeline has no stages. Choose Add starter stages to add New, In conversation and Proposal sent, or add your own.

When you reach your plan's limit, the app shows how many you've used, such as 3 of 3 pipelines used, and which plan includes more.

Switch and move between pipelines

  • Once you have two or more pipelines, use the Pipeline menu on the board to switch between them.
  • To move a lead, open its card's menu and choose Move to pipeline….

Intake forms can send new leads to the pipeline you pick.

Rename or delete a pipeline

Find the pipeline in Settings › Clients › Stages and follow-ups.

  • The default pipeline can't be deleted.
  • To delete any other pipeline, first move its leads to another pipeline.
  • Its stages are deleted with it. Forms that sent leads to it send them to the default pipeline instead.

If you move to a plan with fewer pipelines, nothing is deleted. You just can't add more until you're under the new limit.

If something looks off

  • The board isn't available right now. Showing the table. The board couldn't load for your workspace. Try again later.
  • A lead isn't on the board. It may be a client already, or closed. Check the Table view.
  • The Weighted figure looks low. Check each stage's Win chance in Settings › Clients › Stages and follow-ups.
  • I can't add a pipeline. You may be at your plan's limit, or you don't have the Manage stages permission.
