Turn a client note into follow-ups and tasks

Let AI read a client note or pasted meeting text, tick the follow-ups and tasks you want, pick a board, and add them in one step.

View as Markdown

To turn a client note into next steps, select the sparkle button on the note. AI reads it and lists the follow-ups and tasks it finds. You tick the ones you want, edit titles and dates, pick a board for the tasks, and select Add. Nothing is added until you do.

Plans: Turning notes into follow-ups and tasks starts on Cadet. Reading the notes uses AI usage. Adding the items is free.

Where to find it

There are three places to start. All of them are for one client.

  • Notes tab on a client: each note row has a sparkle button. Its tooltip reads Turn into follow-ups and tasks. The button also shows for members who can view the client but not edit notes.
  • Inside a client note: open the note and choose Turn into follow-ups and tasks from the note's menu. Personal and workspace notes do not have this row.
  • Pasted text: open the client, select More actions, then Follow-ups from pasted text. It opens an empty box.

Before you start

  • You need permission to view the client, and the client must be one you have access to.
  • To add tasks, you also need permission to create tasks and edit access to the board you choose.
  • Check your AI usage. Reading uses AI usage even when nothing is found. See AI usage and billing.

Turn a note into follow-ups and tasks

  1. Start from a note, or from Follow-ups from pasted text. The page is called Follow-ups from notes. It shows For and the client's name, and, for a note, From and the note's title.
  2. From a note with enough text, the page starts reading right away. Reading the notes… shows.
  3. From pasted text, paste into Notes. The hint reads Paste a call summary, meeting notes or an email thread. Use at least 20 characters. Select Find next steps. The page says Reading uses AI usage. Nothing is added until you choose items.
  4. Review the results (see the next section).
  5. Under Tasks go to, pick a board. The first board in the list is chosen for you.
  6. Select Add N items. The button reads Adding… while it saves.
  7. The page shows how many were added, for example 4 added, 1 already there. Select Done.

Only the first 8,000 characters are read. When a note is longer, the page says Only the first 8000 characters were read.

Review what AI found

The page says Choose what to add. Edit a title or date first if you like. Rows are ticked at first. A line such as 3 of 4 chosen counts the ticks.

  • Follow-ups: reminders to get back to the client. AI finds up to six. Each can show a suggested way to reach out: Email, Text, Call or Meeting.
  • Tasks: work for you or your team. AI finds up to eight.

Edit any title, or pick a date with Pick a date. A follow-up with no date is set for tomorrow morning, and the row says No date: tomorrow morning. A task with no date says No due date. Dates must be from today to two years ahead. Otherwise the row says Pick a date from today to 2 years ahead.

Untick a row to leave it out. The button says Choose at least one item until you tick something.

A follow-up is saved as a reminder on the client and counts toward the client's Next follow-up. A task is created on the board you picked.

If you have no board you can add tasks to, the page says You have no board you can add tasks to. Task rows are shown but cannot be ticked. Follow-ups still work.

What it costs

  • Reading the notes uses AI usage once.
  • A read that finds nothing still used AI usage. The page says This read used AI usage.
  • Adding the items is free.
  • The app never retries a read on its own. A second read uses AI usage again.

If something goes wrong

  • No next steps found: nothing in the text called for a follow-up or a task. Select Edit the text, add detail, and read again.
  • You're out of AI usage: reading uses AI usage and adding is free. Select Get more AI usage to top up. If you cannot buy it, the page says Ask your workspace owner to get more AI usage.
  • We couldn't read the AI's answer: this used AI usage once. Select Try again with shorter text, or when you are ready.
  • We couldn't read the notes: check your connection and try again. Your text is still there.
  • Nothing was added: your choices are kept. Try again in a moment.
  • A date is in the past or more than 2 years away. Pick a date from today on, then add again.
  • You don't have access to add these, or the board is no longer available. Pick another board.
  • You can't use this for this client: your access does not include this client.
  • Included in Cadet and up: your plan does not include this. The page says Turn client notes into follow-ups and tasks. Reading the notes uses AI usage. Select Upgrade to see plans. The app also opens a dialog titled Turn notes into next steps.

Continue to Clients and CRM for the client record, and Projects, tasks, and scheduling for the boards the tasks go to.
