Workspace369 has a mobile app for iOS and Android. Install it from the App Store or Google Play, sign in with the same email and password you use on the web, and you see the same workspace. On a phone you move around with a bottom bar and a side menu instead of the web sidebar.
Plans: the mobile app is included on every plan, starting with Cadet. Push notifications are on every plan. Calling from the app needs a plan with Voice, which starts on Voyager.
Get the app and sign in
- Install Workspace369 from the App Store on iPhone, or from Google Play on Android.
- Open the app and go to the Log In screen.
- Enter your Email and Password, then choose Log In.
- If you forgot your password, choose Forgot Password? and follow the email.
If you have no account yet, choose Sign Up on the same screen. For what to set up first, see Quickstart and Workspace setup.
The app shows a short loading screen while it gets your workspace ready. A teammate you invite signs in the same way and sees only what their access allows. See Team access and permissions.
To sign out, open the menu and choose Log Out, then confirm.
Move around on a phone
The web app has a sidebar. On a phone, navigation is split in two.
- Bottom bar. Five tabs along the bottom, with a + button next to them. Home is always first. The other four default to Projects, AI AutoPilot, Invoices and Calendar.
- Side menu. Choose the menu icon at the top left to open it. It holds the full list of screens, grouped as Dashboard, Clients, Work, Finance, Communications, AI AutoPilot and Tools, plus Settings, Support and Log Out. Your plan is under Settings, then Workspace, then Plan.
The + button opens quick actions. By default they are Flash Pay, a task, an event, an invoice and a client. Flash Pay shows only when your workspace has it turned on.
Change the bottom bar
You can choose which tabs show.
- Open Settings.
- Under You, open Customize, then Bottom bar.
- Under Tabs, use Add tab to pick a screen, drag to reorder, or remove a tab. Home is marked Always shown and can't be removed.
- Under More button, pick up to 6 quick actions for the + button, or turn off Show More button.
- Choose Reset to default to go back to the original bar.
A Live preview at the top of the page shows the bar as you edit. Inbox and Requests tabs show a count badge when something is new.
Push notifications
The first time you sign in on a phone, the app asks permission to send notifications. Choose to allow it. If you declined, turn it on in your phone's own settings for Workspace369.
To choose what reaches you:
- Open Settings, then Notifications (under You).
- In the section named for your workspace, choose which workspace activity you want to hear about. These apply only to this workspace.
- Under Inbox notifications, set each email inbox and phone number to All new messages, Only assigned to me, or Off. A phone number's setting covers texts, missed calls, voicemail and incoming-call alerts.
- Under Workspace369, turn General updates and Promotions and offers on or off. These apply in every workspace.
Changes save as you go. On iPhone, notifications are also controlled by iOS Settings, so check there if nothing arrives.
If the page shows Workspace owner has disabled notification editing, an owner or admin has locked the workspace activity choices. Your personal reminders still work.
Signing out stops that phone from receiving your notifications. Sign in again to register it.
Calls on mobile
If your plan includes Voice and your workspace has a phone number set up, you can answer and place business calls in the app. Incoming calls ring on the phone with Answer and Decline. During a call you get Mute, Hold, Speaker, Keypad and End call.
- The first time you place or answer a call, your phone may ask for microphone access. Allow it, or calls have no audio.
- You need call permission to place or receive calls. Owners and admins have it. Other members get it through their access settings.
- Call transfer and other advanced call features depend on your plan. See Workspace Voice and Voice phone numbers and routing.
On Cadet, calling isn't available, on the app or on the web.
When you have no internet
The app works with live workspace data. It doesn't keep an offline copy, so you need a connection to open records, save changes or receive calls and notifications.
If the app is stuck on the loading screen for about 25 seconds, it shows This is taking too long with two choices:
- Dismiss shows the app as it is.
- Sign out signs you out. Signing back in usually clears the problem.
Check your Wi-Fi or mobile data first. Then close and reopen the app.
Text size and dark mode
The app uses 125% text size by default on a phone. Web and tablets default to 100%. Each is saved separately.
- Open Settings, then Appearance (under You).
- Under Theme, choose Light, Dark or System. System follows your phone.
- Under Color and text, choose an accent color and a Text size: Small, Default, Large or Extra large.
- Choose Save.
What is different on a phone
- Shake to report a problem. Shaking your phone opens a Report a problem sheet with a screenshot. This works only in the mobile app.
- Sign-in options. The mobile Log In screen takes an email and password. There is no app lock or Face ID or fingerprint lock in the app. Your phone's own lock screen is the protection.
- Layout. Phones and narrow tablets (under 850 pixels wide) use the bottom bar and side menu. Wider screens, such as an iPad in landscape, keep the web-style sidebar.
- Camera, photos and location. The app asks for these only when you use a feature that needs them, such as attaching a photo.
Subscriptions bought in the app
If you subscribed through the App Store or Google Play, that store bills you, and you manage the plan there. The plan screen shows Manage in App Store or Manage in Google Play. The store subscription belongs to the workspace, not to one person's device, and deleting the app doesn't cancel it. A plan bought on the web is managed on the web.
For plan changes, seats and cancellation, see Plans, seats and subscription.
Troubleshooting
- I'm not getting push notifications. Check your phone's notification settings for Workspace369. Then open Settings, Notifications and confirm the inbox or workspace activity isn't set to Off. Signing out and back in registers the phone again.
- A teammate gets notifications and I don't. Your inbox setting may be Only assigned to me, or an owner may have locked the choices.
- Calls have no audio. Allow microphone access for Workspace369 in your phone's settings.
- I can't place or answer calls. Voice starts on Voyager, and you need call permission. Ask an owner or admin. See Team access and permissions.
- The app says my plan is billed by the App Store or Google Play. Manage that plan in the store first. See Plans, seats and subscription.
- A tab I want isn't on the bottom bar. Open the side menu, or add the tab under Settings, Customize, Bottom bar.
- The app is stuck loading. Choose Dismiss or Sign out on the stall screen, check your connection, then reopen the app.
