The **Year-end summary** shows one year of money in and out. It covers what you were paid, by month, by client and by payment method, and what you spent, by category. Export it as a PDF or CSV to hand to your accountant. It's on every plan.

The summary is a starting point for your taxes, not tax advice. Check it with your accountant.

## Who can see it

What you see depends on your role:

- **Income** (what you were paid): the owner, or a team member who can view invoices and their prices and who works with every client. Members limited to their own clients don't see income, because the totals cover clients outside their list.
- **Expenses** (what you spent): the owner, admins, and members who can view expenses.

If you can see only one half, the summary shows that half. If you can see neither, the card doesn't show in **Reports**.

Recording expenses in Workspace369 starts on Specialist, so the expense side fills in from the expenses you record there.

## Open the summary

1. Open **Reports**.
2. Select **Year-end summary**.
3. Use the **Year** menu to pick a year. It offers this year and the five before it, newest first.

From January to April the summary opens on last year; from May it opens on this year. For a year that isn't over, the menu shows it as, for example, **2026 so far**. A line at the top says the numbers run through today's date and will change.

## Read the top of the page

A sentence sums up the year, such as "In 2025 you were paid … and spent …". Below it are four figures:

- **Received**: the money that reached you in the year, after refunds. If anything was refunded, the amount shows beneath it.
- **Expenses**: the expenses recorded in Workspace369 for the year, with how many there were.
- **Received minus expenses**: before tax. It isn't a profit statement.
- **Payments**: how many payments you received. Payments still clearing show beneath it and aren't counted yet.

## The tables

- **By month**: **Received**, **Expenses** and **Net** for each month, with a total.
- **Who paid you**: your top clients and what each paid. The rest are added up as **Everyone else**, and payments from a client you deleted show as **Deleted client**.
- **How you were paid**: by method, such as **Card**, **Online payment**, **Bank transfer**, **Cash**, **Check** or **Retainer balance**.
- **Where the money went**: expenses by category. Expenses without a category are under **No category and other**. If your expenses include tax you paid, a line says how much.

## How it's counted

- **Cash basis.** **Received** counts money on the date it reached you. A refund counts in the month of the payment it reverses.
- **Tips** are included in **Received**, and a note says how much.
- **Currencies are kept apart.** Each currency is added up on its own and nothing is converted. Money received in another currency shows in its own section below.
- **Expenses** are counted by their date, in your workspace currency. An expense without a readable date isn't counted, and a note tells you to fix it in **Expenses**.

## Export it

- **Export PDF**: in the **⋯** menu. The PDF is titled "Income summary" with the year, and lists the date it was made.
- **Export CSV**: a button on a computer or tablet. On a phone it's in the **⋯** menu.

For a year that isn't over, the file name says so, for example `income_summary_2026_so_far_…`.

## If something looks off

- **Nothing for this year yet.** No payments or expenses were recorded in that year. Pick another year.
- **The totals may be low.** Very large workspaces can have more records than one summary reads. A note says so when it happens.
- **A payment is missing.** Payments still clearing aren't counted until they settle. Payments are counted by the date they reached you, not the invoice date.
