# Proposal defaults and templates

> Set the theme, accent color, signature, deposit, validity, and footer text that new proposals start with, and save proposals as reusable templates for the team.

Workspace defaults decide how a new blank proposal starts. Templates capture a whole proposal, blocks and settings included, so the team can reuse it. Both are managed from **Proposal Settings**.

## Before you begin

- Changing defaults needs the **Edit Proposals** permission. Managing templates needs **Manage Proposal Templates**.
- Defaults apply to new proposals only. Existing proposals keep their current settings.

## Set the defaults

1. Open **Settings**, then under Sales and Invoicing choose **Proposal Settings**.
2. Under **Default design**, choose the **Theme** and the **Accent colour**. The themes are Modern, Minimal, Classic, and Bold.
3. Under **Default terms**, turn on **Require client signature** when every proposal should be signed to be accepted.
4. Turn on **Require deposit** to ask for a deposit on acceptance by default. Choose the **Deposit type**, percentage or amount, and enter the value. The default is a 50 percent deposit.
5. Enter **Valid for** in days to give new proposals an expiry, or leave it empty for no expiry.
6. Under **Notes**, enter footer text to show on new proposals.
7. Choose **Save**.

A proposal created from a template ignores these defaults and uses the template's own settings.

## Save a proposal as a template

1. Open a proposal that has the blocks, design, and terms you want to reuse.
2. In the **Settings** tab of the side panel, choose **Save as template** and name it.

The template appears under **Your templates** when someone starts a new proposal, and in the **Templates** section of Proposal Settings, where it can be renamed, duplicated, or deleted. Deleting a template does not affect proposals already created from it.

## Apply a template to an existing draft

1. Open the draft and choose **Apply template** from the more-actions menu.
2. Pick the template. The current blocks are replaced, while the client and the proposal name stay unchanged.
3. Choose **Also replace line items** if the template's items should replace the draft's items as well.

## Verify the setup

1. Start a blank proposal and check the Design and Settings tabs show the new defaults.
2. Start a proposal from a template and confirm its blocks and settings match the template rather than the defaults.
