# Ask AI actions and Auto mode

Ask AI can change your workspace, so it asks before it does. This guide explains the confirmation card, the actions that ask in every mode, how batches are reviewed, and the Auto mode setting that lets ordinary changes run without a card.

## The confirmation card

When Ask AI is about to create, update, or send something, it stops and shows a card titled **Confirm before this runs**. The card names the record, summarizes what will change, and offers a button named for the action: **Create Event**, **Add Reminder**, **Create Task**, **Add Client**, **Save Changes**, **Send Email**, or **Send SMS**, for example. Choose **Cancel** to stop; the reply then confirms that no changes were made.

For irreversible actions the card adds: "This one can't be undone, so Ask AI stopped and is waiting for you."

Two cards are editable before you confirm. A new task opens an editor where you can change the board, status, assignees, and checklist. A new or updated client opens an editor with an address check, where you verify the address and set the lead source before saving.

A card that is left open times out for safety. It then reads **Confirmation expired**, and you ask again to run the action.

## Actions that always ask

These actions show a card in every mode, including Auto mode, because they reach a real person or are hard to take back:

- Sending an invoice or a proposal to its client.
- Sending an inbox message, a bulk text, or a reply to a lead.
- Invoicing a whole date range of scheduled jobs with client notifications.
- Converting a request into a client, which can start new-client workflows.
- Turning a workflow off.
- Changing a teammate's working hours.

Ask AI never reports that a message was sent unless you confirmed it and the send succeeded.

## Batches

When a request affects many records, Ask AI prepares one batch and shows a single review card that lists every item. A batch holds at most 30 items, and a bulk text at most 30 recipients. Larger requests are refused with an explanation rather than trimmed, and the assistant stages the rest after you confirm the first batch. Actions that always ask cannot be placed in a batch; they are confirmed one by one.

The **Activity** strip on the reply shows how many steps completed, which needed approval, and which did not run.

## Turn on Auto mode

Auto mode lets Ask AI create, update, and delete records without a card. Sends and the other actions listed above still ask.

1. Open **Settings**, then under AI choose **Ask AI Actions**.
2. Turn on **Auto-approve actions**.
3. Read the confirmation: it applies to everyone in the workspace, sends to clients still ask every time, and you can turn it off again at any time. Choose **Turn on Auto**.

Only an admin with the Manage MCP connections permission can change this setting; other members see it read-only. While it is on, the chat shows **Auto mode on** with the note "Sends to clients still ask".

## What Ask AI never does

- Delete clients, invoices, proposals, projects, events, or team members.
- Invite, remove, or suspend team members, or change permissions.
- Turn a workflow on, create one, or edit one.
- Send marketing campaigns.
- Charge a card, set up Stripe, or change payment methods. Recording a payment that already happened is allowed when you ask for it.
- Invent a phone number, email address, amount, or record number. Details are copied from your data in that conversation or left out.

## Audit trail

Every step Ask AI runs, including refused ones, is written to the workspace AI activity log with the tool, outcome, and timing, and records it changes carry a note that the change came through Ask AI. Admins review the log under Settings, AI, **AI Connections (MCP)**, in the Activity Log section, where Ask AI appears as its own client with no Token charge per step.
